We are looking for a self-motivated, detail oriented, and organized individual to assist with the smooth running of our office, and with projects related to property research and land use submittals under the supervision of our attorneys and Senior Planner.

Administrative Responsibilities:
Provide administrative support to staff: reception duties, maintain office supplies, document preparation, basic bookkeeping, billing, new client intake, monitor deadlines, calendaring/scheduling, written and verbal communication with clients, government agencies, vendors, and co-workers, attend meetings in person or remotely as needed.

Land Use Planning Responsibilities:
Provide planning support to Senior Planner and attorneys: basic property research, assist with the preparation of land use applications including exhibits, interpret various types of documents such as deeds, land use approvals, and staff reports, manage conditions of approval, coordinate with various agencies and planning departments, attend meetings in person or remotely as needed, including site visits in various terrain and weather conditions.

Required Skills:
· Proven work experience in an administrative, land use planning, legal, or real estate role.
· Maintain strict confidentiality
· Demonstrate excellent work ethic
· Solid understanding of formatting, document production, filing and recording
· Understanding of or willingness to learn the Oregon Land Use system
· Satisfactory knowledge of day-to-day operations of a business office
· Solid understanding of technology
· Experience with Microsoft Office Suite and Adobe Creative Suite
· Experience with or willingness to learn GIS mapping software
· Solid basic math skills (addition, subtraction, multiplication, and division)
· Proficiency in English
· Clear, concise and grammatically correct editing capabilities
· Detail oriented
· Excellent time management
· Excellent organizational skills
· Ability to juggle multiple activities and work under pressure
· Ability to work collaboratively, take direction, and work unsupervised
· Ability to anticipate needs and complete important tasks without needing to be asked
· AA, diploma or equivalent experience
· Must be a current Oregon Notary or become a notary within 2 months of hire

Job Type: Full-time, exempt (salaried) position

Schedule:
8 hour shift
Normal business hours are Monday through Friday 8:30am – 5:00pm.

Work Environment:
Work is conducted in a normal office setting with exposure to computer screens; noise level is typical of most office environments with occasional travel required to attend meetings and to conduct site visits. Site visits may occasionally occur during inclement weather and in unstable terrain and physical environments. Occasional attendance at evening public meetings may be necessary.

This position will require the employee to have frequent interactions with individuals inside and outside the organization and may require occasionally speaking in front of an audience.
