The Client Service Associate is a member of the Retirement & Investment Operations Team that works closely with the firm’s Financial Planning team to support client account administration and service requests. This role is designed for someone early in their career who is detail oriented, eager to learn, and interested in building a long-term career within the operations side of the financial advisory industry while working with clients and custodial platforms.
Key Responsibilities:
Account Support & Administration
• Assist with opening and maintaining client accounts, including individual, joint, and retirement accounts
• Prepare, organize, and submit account forms to custodians, with training provided
• Review account documentation for completeness and accuracy and ensure timely processing
Transfers & Money Movement
• Support account transfers, rollovers, and money movement requests
• Learn the differences between taxable and tax‑advantaged accounts and how they impact transactions
• Track submitted requests and follow-up through completion
Custodian & Platform Coordination
• Work with custodians (Schwab familiarity a plus) to process service requests
• Monitor account statuses and assist with resolving routine issues or discrepancies
• Learn and follow firm procedures, custodial systems, and operational standards
Client Service & Communication
• Serve as a point of contact for routine client service requests via phone and email
• Communicate clearly and professionally with clients regarding documentation, timelines, and next steps
• Escalate more complex client needs to the Investment Operations Manager as appropriate
Organization & Data Management
• Maintain accurate client records and internal documentation
• Use Excel and internal systems to analyze, organize, and maintain data accurately and efficiently
• Support the firm’s commitment to accuracy, organization, and compliance
Required Qualifications
• Strong attention to detail and ability to follow established processes
• Professional written and verbal communication skills
• Comfort working with numbers, forms, and structured data
• Proficiency with Microsoft Excel and basic technology
• Ability to prioritize tasks, manage time effectively, and meet deadlines
Preferred Qualifications
• Exposure to financial services, banking, accounting, or administrative roles
• Basic understanding of Taxable vs. Non-Taxable accounts or a demonstrated willingness to learn
• Interest in a long‑term career within the retirement & investment operations or client service support
• Familiarity with Schwab, Fidelity or other custodial platforms is a plus.
• Experience working within defined processes and contributing as part of a larger team

Position: Full-Time Client Service Associate Position
Compensation: $50K – $70K DOE
